Event medical planning
Effective medical coverage starts with proper planning. NPEMA works with organizers to develop medical service plans tailored to their event’s size, activities, venue, and anticipated risks.
Our planning process addresses staffing, equipment, treatment facilities, communications, and emergency response procedures to ensure coordinated medical operations.
FIRST AID & EMERGENCY RESPONSE

Depending on event requirements, teams may include Emergency Medical Responders, Paramedics, Nurses, and other qualified healthcare professionals.

every event has different needs
FESTIVALS & COMMUNITY EVENTS
Community festivals and public gatherings bring together people of all ages, often across large or busy venues. Medical coverage may include a central first aid station supported by mobile responders who can reach patients throughout the event. The deployment is planned around expected attendance, venue access, and the activities taking place.
RUNS, RACES, & TRAIL EVENTS
Medical planning for races extends well beyond the start and finish lines. Depending on the course, responders may be positioned at aid stations, along the route, or at locations where access is more difficult. For remote trail events, NPEMA can deploy UTV response teams and additional communications equipment to support medical response and patient evacuation.
SPORTING EVENTS & TOURNAMENTS
Sporting events often involve multiple competition areas, tight schedules, and a mix of athletes and spectators. Medical personnel can be assigned to individual venues or positioned centrally to respond as needed. Coverage is planned around the type of sport, number of participants, and accessibility of the competition areas.
MUSIC FESTIVALS
Crowd density, long operating hours, and changing weather conditions can all influence medical planning at music festivals. Depending on the venue, coverage may involve a dedicated treatment area, mobile response teams, and coordination with security and event operations to reach patients in crowded areas.
CONVENTIONS
Convention and trade show medical coverage generally centres around providing accessible care without disrupting event operations. A designated medical post can handle walk-in patients, while mobile responders attend incidents throughout exhibition halls, meeting spaces, and common areas. Coverage can also extend to exhibitors and staff working outside public show hours.
LOAD IN AND LOAD OUT
Setup and teardown bring different risks than the event itself, particularly when crews are working with staging, equipment, and temporary structures. Having medical personnel on-site during these periods provides an immediate point of contact for injuries or medical emergencies. Coverage can be scheduled around production activities rather than the event's public hours.

event medical planning - Frequently asked questions
-
The number of medical responders needed depends on the event's attendance, activities, venue layout, accessibility, and other operational considerations. A small community event may only need a few responders, while a large festival or sporting event may require multiple medical teams and dedicated treatment areas.
NPEMA reviews the details of each event and works with organizers to recommend an appropriate staffing level, equipment, and medical coverage plan.
-
Yes. NPEMA provides its own medical shelters, equipment, and supplies to establish first aid stations and medical treatment areas at indoor and outdoor events.
In most cases, organizers only need to provide a suitable space for the medical post and access to power where available. For locations without reliable electrical access, NPEMA can provide independent power using our solar-equipped trailer or generators when required.
Medical posts can also be supported by mobile response teams to provide coverage throughout larger venues.
-
Medical coverage is worth considering during load-in and load-out, particularly for events involving staging, heavy equipment, temporary structures, or large production crews.
Although these activities take place outside public event hours, injuries and medical emergencies can still occur. NPEMA can provide medical coverage during setup and teardown based on the work being performed and the event's operational schedule.
-
We recommend contacting NPEMA as early as possible, particularly for large festivals, multi-day events, and deployments requiring specialized equipment or additional personnel.
However, we understand that medical coverage isn't always arranged far in advance. NPEMA maintains a roster of on-call responders and may be able to accommodate short-notice requests, depending on personnel and equipment availability.
